Automatic document and file organization

Turn designated inbox folders into a reviewable queue of extracted metadata, sensible filenames, destinations, summaries, and duplicate warnings.

Use Case

The practical version does not unleash an agent across every drive. It watches one or more designated inbox folders, reads supported files, extracts dates and entities, identifies the document type, proposes a standardized filename, recommends a destination, and flags likely duplicates. The first deployment is a proposal queue: accept, correct, or reject each suggested operation.

Local processing is valuable because personal, household, and business documents can remain on systems you control. It also makes repeated low-value classification economical. A 16 GB system can handle OCR, text extraction, common document types, and narrow routing rules. The 32 GB class improves mixed-image documents, longer context, and retrieval across an established filing system. A 64 GB system can support a larger private index and richer cross-document relationships, although storage design and metadata quality matter more than model size alone.

Reliability comes from separating interpretation from mutation. The model may suggest a name and destination, but ordinary code should validate the path, reject illegal names, detect collisions, log the proposed change, and perform the move. Deletion should remain a separate, explicit workflow. Confidence thresholds can eventually automate familiar categories while unusual or ambiguous documents stay in review.

The system becomes more useful as corrections become rules or examples. If every insurance statement follows the same pattern, encode that pattern instead of asking a language model to rediscover it forever. Use AI where ambiguity exists and deterministic automation where the answer is already known.

Practical outline

What it takes to make this useful.

  1. 01

Begin with one designated inbox instead of an entire filesystem

  2. 02

Extract and propose before moving anything

  3. 03

Use deterministic code for paths, collisions, logs, and actual file operations

  4. 04

Keep deletion separate and explicitly controlled

  5. 05

Turn repeated corrections into rules so the model handles only genuine ambiguity
